1. Booking Confirmation
A booking enquiry submitted through this website or communicated to ARZO by any means does not constitute a confirmed booking. A booking is only confirmed when ARZO has provided written confirmation and the required deposit or full payment has been received.
Talent availability is subject to confirmation at the time of booking. ARZO cannot guarantee availability for talent shown on the website until a booking is formally confirmed in writing.
2. Payments
Payment terms are set out in the individual booking confirmation or proposal. Standard terms are as follows unless otherwise agreed in writing:
- Deposit: A non-refundable deposit (typically 50% of the total fee) is required to confirm a booking.
- Balance: The remaining balance is due no later than [X] days before the event date, unless otherwise stated in writing.
- Late payment: ARZO reserves the right to suspend or cancel a confirmed booking if payment is not received by the agreed due date.
- Expenses: Pre-approved travel, accommodation, and other out-of-pocket expenses are billed in addition to talent fees unless explicitly included in the agreed package.
3. Cancellation by the Client

Cancellation fees may be waived or reduced at ARZO's sole discretion in exceptional circumstances. All cancellations must be communicated to ARZO in writing.
4. Talent Unavailability
If a confirmed talent becomes unavailable due to illness, emergency, force majeure, visa or legal restrictions, or circumstances genuinely outside their or ARZO's control, ARZO will make reasonable efforts to propose a suitable replacement of comparable quality and experience.
ARZO is not liable for losses arising from talent unavailability due to force majeure events or circumstances outside ARZO's reasonable control, provided that ARZO notifies the client promptly and makes reasonable replacement efforts.
5. Client Responsibilities
By confirming a booking, the client agrees to:
- Provide an accurate, complete event brief including event purpose, audience, format, dress code, and any special requirements
- Provide a safe, suitable, and compliant working environment for all talent
- Communicate call time, venue address, parking/access arrangements, and an on-site contact person in advance of the event
- Obtain all necessary venue permits, event licences, and regulatory approvals
- Treat all talent with professionalism and respect throughout the engagement
- Not make requests that are illegal, unsafe, sexually inappropriate, or contrary to talent's agreed role
- Not require talent to perform unpaid tasks beyond the agreed scope
6. Image and Video Usage
Photography and videography of talent during your event is permitted for the following purposes without additional written approval, unless otherwise specified in the booking agreement:
- Organic social media event recap posts (non-commercial, non-sponsored)
- Internal company records and internal promotional materials
The following uses require prior written approval from ARZO and may require additional talent usage fees or a separate model release agreement:
- Paid advertising, sponsored content, or any promoted social media posts
- Brand campaign materials, product endorsements, or commercial photography
- Broadcast, press, or editorial publications
- Long-term or recurring digital or print advertising
- Transfer or licensing of images to any third party
Unauthorised commercial use of talent images or likeness is a violation of both these Terms and applicable intellectual property and personal data protection law.
7. Overtime
If the engagement runs beyond the confirmed time slot, overtime charges will apply at the rate set out in the booking confirmation, or, if not specified, at ARZO's standard hourly overtime rate. The client will be notified where possible before overtime charges begin to accrue.
8. Limitation of Liability
ARZO's liability in connection with any booking shall not exceed the total fees paid by the client for that booking. ARZO is not liable for indirect, consequential, or special losses, including loss of profit, loss of opportunity, or reputational damage.
ARZO is not responsible for the conduct of individual talent beyond taking reasonable steps to ensure professionalism and suitability at the time of booking.
9. Governing Law
These Client Booking Terms are governed by the laws of the State of Qatar. Any disputes shall be subject to the exclusive jurisdiction of the competent courts of Qatar, unless otherwise agreed in a separate written contract.
